Technology is becoming harder to keep track of. A company likely has laptops and servers on its corporate network, cloud applications and operational technology running everything from building systems to industrial equipment. Each area can have its own owners, records and management tools.

More connected devices mean more records to manage
Asset management was a lot more simple when most technology was located inside an organization’s offices and data centers. But things have changed.
A business might use cloud platforms, connected cameras, smart building controls, sensors, remote management tools and industrial equipment alongside traditional IT hardware. Some might be managed by IT, while others sit with facilities, engineering or operations teams. The problem isn’t necessarily a lack of information. There might actually be too much of it.
Different teams can maintain separate spreadsheets, databases and management platforms. A device could appear in one inventory but not another. The person recorded as its owner could be out of date, while the location attached to the asset may no longer match where the equipment is actually being used. These differences can go unnoticed without a shared view.
Reconciliation gives teams a better way to compare the records and work out where something needs correcting. That matters when equipment is replaced, moved or connected to something new.
Building systems add another layer
Modern buildings increasingly depend on connected technology. HVAC systems, lighting controls, access systems and energy-management platforms can communicate with corporate networks or cloud services.
NIST has pointed to the increasing use of network and internet connections in building automation and control systems. As more building equipment becomes connected, the technology also becomes part of the organization’s wider security environment.
A building controller might therefore need to be associated with its physical location, responsible team, network connection, cloud services and the systems it controls.
Keeping those details together makes it easier for different teams to understand what a device is doing and where it fits.
PLCs show why visibility matters
Industrial environments face a similar challenge. Programmable logic controllers or PLCs, are used to control physical processes in industries including manufacturing, energy and water treatment. When these devices are internet-facing or missing from asset records, it can be harder for teams to see where potential exposure exists.
In 2026, the FBI and EPA warned about malicious actors targeting internet-facing PLCs used by water and wastewater utilities. The agencies reported incidents in at least seven states, including cases where attackers accessed exposed devices and changed settings that affected operations.
That makes basic asset information useful during both routine security work and incident response. Teams need to know which PLCs are in use, where they are installed, who looks after them and what other systems they connect to.
What should a shared asset record contain?
The information needed will depend on the asset, but most useful records should cover a few basics:
- What is it? The device type, manufacturer and model
- Where is it? Its physical location and network segment
- Who owns it? The team responsible for managing it
- What is it connected to? Related devices, applications, cloud services and management systems
- How is it accessed? Relevant accounts, remote-access routes or management workstations
- Is the information current? Recent changes, configuration details and maintenance records
The record doesn’t need to contain every piece of information available. It needs to give the people managing the environment enough detail to identify the asset and understand its role.
Keeping the inventory useful
A shared inventory also needs regular checks. Devices are added, removed, replaced and reconfigured, so a record that was accurate six months ago may not tell the same story today.
Automated discovery can bring new information into the process, while integrations can pull data from different management systems. Clear ownership also means someone knows who should investigate a record when the details do not match.
Not every discrepancy needs the same response. A small data error on an unimportant device may be easy to deal with later. An unknown asset connected to a critical operational system deserves closer attention.
IT and OT teams can still maintain different requirements and processes. A factory controller doesn’t need to be managed in the same way as an employee laptop. What matters is that the relevant information can be connected when teams need to understand the wider environment.
As more technology crosses the boundary between corporate IT, buildings and operational systems, keeping track of those connections becomes increasingly important. A shared inventory gives teams a common reference point for understanding what they have, where it sits and who is responsible for it.
